This document describes how to manage your 'out-of-office' email reply on your SME Server. Access to this function is provided via the SME Server 'User Manager' web interface.

Each user can change their own settings from any location with internet access.

Once enabled, the system will reply to all incoming emails with your standard message, and will continue to process the message into your Inbox. If multiple emails from the same sender are received, it will not send multiple replies to this address.


To access the User Manager:

  • Open your web browser.
  • Enter the URL (website address) for your server followed by "/user-manager". If you are not sure of your URL please contact us. Our recommendation is that you save this link in your browser "favourites".
  • Login using your normal network user name and password.
  • In the left-hand menu, click the option "Vacation Message"


Update the Message and Status:

  1. Message Body - enter the message that will be sent to the person emailing you, if the out-of-office reply status is set to "Yes". Refer below for an example message structure.Note, the code $SUBJECT can be used in the subject area and the message area. This code will be replaced with the actual subject of the incoming email.
  2. Vacation Status - enable or disable the out-of-office reply.

Subject: Re: $SUBJECT - Away from the office.

Thank you for your email regarding: $SUBJECT

I am currently away from the office, returning on 25/12/2010, but will be checking my messages periodically.

Please contact the office on 07 999 9999 if you need urgent assistance.
